Make the specification work harder.

Build a comparable request for quotation: product, quantity, acceptance criteria, delivery and lifetime cost.

Procurement questions

What should I include in a request for quotation?

Send the product or catalogue reference, intended use, quantity by size or variant, destination country and delivery address, required delivery date, and any tender specification. Add the requested standards, document language, sample needs, packaging and preferred trade term so the quotation can address the complete requirement.

How do I compare products with similar names?

Compare the exact model, materials, dimensions, weight, usable size range, accessories and stated performance. Ask for a compliance table that shows each required parameter alongside the proposed specification. For first-aid boxes, compare the itemised contents, quantities and expiry information; a box name alone does not define its contents.

What are the minimum order and sample terms?

Request minimum order quantities by model, size, colour and packaging option. Confirm sample price, freight, preparation time and whether the sample matches the proposed production version. Record the accepted specification before placing the bulk order; availability and commercial terms belong in the written quotation.

How should product certificates be checked?

Match the document to the exact manufacturer, model, standard edition, test scope, issuing body and validity dates. Check the issuer or applicable official register and reconcile any model differences before ordering. A factory management-system certificate is not a substitute for the requested product-level evidence.

Which origin and shipping details should be confirmed?

Ask for country of manufacture, exporter details, carton quantities, gross and net weights, dimensions and the proposed route. Agree the commercial invoice, packing list, transport document and any destination-specific origin or conformity documents with the importer before shipment. A dispatch country does not establish manufacturing origin.

How do I compare total cost and after-sales support?

Compare purchase price together with freight, inspection, import charges, consumables, replacement parts and maintenance. Ask for written warranty duration, covered faults, exclusions, claim evidence, return freight responsibility and repair or replacement arrangements. For reusable gear, include cleaning instructions, replacement criteria and replenishment options in the comparison.

Does an Incoterms® rule settle payment and delivery timing?

Incoterms® rules allocate defined delivery responsibilities, costs and risks. Specify the chosen rule, named place and edition; separately agree payment milestones, quote validity, production time, inspection release, transit estimates and responsibility for delays. Distinguish factory-ready dates from arrival and final delivery dates.

What should I confirm when ordering rechargeable lighting?

Record the battery chemistry, capacity, charging input, plug, replacement options and operating conditions. For lithium batteries, request the matching UN 38.3 test summary and have the freight provider confirm the applicable transport requirements for the actual configuration. Ask for runtime at the specified light output, rather than comparing peak brightness alone.

How do I specify lifejackets and lifebuoys?

State the water environment, wearer sizes, buoyancy requirement, visibility, accessories and required approval scheme. IMO does not approve individual life-saving appliances; relevant maritime administrations handle approval. Ask for the precise model evidence required by your vessel, authority or tender, plus inspection, storage and replacement instructions.

Can one radiation meter cover every monitoring task?

Some instruments accept several probes, but dose rate, personal dose and surface contamination remain distinct functions. Send the required quantities and radiation types. We can compare the proposed instrument, probe and software configuration line by line.

What calibration information should accompany a quotation?

Request the model and serial numbers, covered quantities and ranges, calibration date, results, uncertainty and traceability, plus the route and lead time for future calibration. Confirm whether the quoted package includes every proposed probe.

How should an emergency monitoring platform be accepted?

Agree the complete detector, carrier, communications and software configuration. Demonstrate the required measurements, field images and usable records under representative conditions, including the proposed power arrangement. Include training, equipment checks, maintenance and service support.

What is needed for a counter-eavesdropping equipment quotation?

Send the premises type, mobile or desktop use, required signal bands and inspection functions, operating time and report needs. Ask for a base-unit and accessory list, demonstration conditions, software options, training and warranty.

Does contamination-control clothing provide radiation shielding?

Do not treat those functions as equivalent. Specify the hazard and the required protective function, then check the exact model’s documented performance, fit and compatibility with the rest of the equipment through your site protection lead.
